What's inside
A complete certificate of data destruction template, aligned to the latest standards. Two formats in one document: a per-event certificate for single destruction jobs, and a batch certificate addendum for multi-asset projects.
9 pages of structured certificate content covering:
Document control with NIST 800-88 Revision 2 alignment
Format A: Per-event certificate for 1 to 10 assets
Source organisation block (data owner)
Sanitisation service provider block with certifications tickbox (ISO 27001, ISO 14001, ISO 9001, ADISA, R2v3)
Asset details with parent device serial linkage (the field most templates miss)
Sanitisation method selection: Clear, Purge, or Destroy per NIST 800-88 Rev. 2
Specific technique tickboxes including overwrite, cryptographic erase, ATA Secure Erase, degauss, shred
DIN 66399 shred level integration (H-5 for HDD, H-6 for SSD)
Tool name and version capture
Verification and Validation section with the new Rev. 2 distinction
Media destination tracking (reuse, remarket, recycle, destroy)
Operator, verifier, and witness signature blocks
Format B: Batch certificate addendum with 14-row asset inventory table
Guidance for completion with method-by-classification matrix
Compliance reference map across NIST 800-88 Rev. 2, ISO 27001:2022, IEEE 2883:2022, UK GDPR
Why NIST 800-88 Revision 2
NIST published Revision 2 on 26 September 2025, superseding Revision 1 (2014). Most free certificate templates online still reference Rev. 1 and are technically out of date. This template is aligned to Rev. 2 with the new verification versus validation distinction, IEEE 2883:2022 alignment, and updated documentation requirements.
Who it's for
ITAD service providers, internal IT operations teams, compliance officers, internal audit, and any organisation issuing or receiving certificates of destruction.
